Staff: Crew Qualifications
00:00: This guide walks you through managing crew.
00:02: Qualifications influx, the target audience.
00:04: Here is the onboarding project manager, career records manager, and other
00:08: administrators responsible for managing crew, assignments and qualifications.
00:13: Let’s start your company settings with the crew qualifications tree.
00:16: Remember that access to company settings is controlled by access rights
00:20: company. Administrators and accountable managers by default have
00:25: access
00:26: Search or scroll and then select the Edit Qualifications option to access
00:30: qualification details.
00:33: We refer to this section as your qualifications tree. It as roots
00:37: and branches, also referred to as parent-child dependencies. Here
00:40: we can see three roots or parents that are not dependent upon each other.
00:44: They are crew members, flight instructor, and check airman. If
00:48: your organization does not have flight instructors or check
00:50: airmen, these can be deleted. If you want to track maintenance, engineers, or
00:54: other staff qualifications, you can create them here too.
00:58: Let’s explore the crew members, as this is the most common amongst all organizations.
01:02: Click the arrow to expand the section.
01:05: Now we see two children or branches: flight attendants and pilots.
01:10: There is no Arrow next to flight attendants, thus, there are no licenses or qualifications.
01:15: We need to manage at this time. We simply want to be able to assign someone, as a flight
01:19: attendant. Let’s take a look at the fields. We need First, we name
01:23: this, as we call it in our organization, flight, attendants cabin, crew, cabin
01:27: service Etc. The training type should be none.
01:46: Here we can interpret that all Pilots need a license.
01:49: In this case, FAA certification and a medical.
01:54: Select license from the drop-down list of the training type.
01:57: FAA certifications, do not expire.
01:59: So the validity can be blank. Please note that the benefit
02:03: of putting the licenses here is to show it in the licenses module.
02:07: However, it is necessary to enter the pilot license in persons
02:11: or stuff under passports and IDs.
02:13: In order to be read by customs and immigrations transactions.
02:02: We have logic available for the most common medical types.
02:05: In this example, we will select us medical cl1 from
02:09: the type drop-down list. This will consider the age of the pilot for the
02:13: validity period training types should be base and her

03:01: sense, if a pilot needs a Class 2, but has a higher class, the class 1 will
03:05: cover the requirement of the Class 2.
03:08: If your operation has both private and commercial flights, you will need
03:12: to differentiate the qualifications here for easy understanding.
03:15: We will name this Branch Pilots 91, the type
03:19: is private and 91 Branch. This type selection applies to all
03:23: International Private operations, training type is none
03:27: and the rest of the template can be left blank.
03:31: Under the Private branch, we have a branch for each type rating.
03:36: It is imperative that the name you choose for the type rating is exactly the
03:40: same in your private branch as in your commercial branch
03:43: In both the private and commercial branches, the type is Type Rating.
03:47: This is how we associate the qualification with the Aircraft. Training type
03:51: is none.
03:52: There are likely few qualifications you need to track for each type under the private branch, but
03:57: you can list them here and select the training type and validity period applicable.
04:02: Now, let’s take a look at the commercial pilots where complexity continues to increase
04:06: to meet regulatory demands. The type of the commercial parent is commercial
04:10: slash 135 branch.
04:13: Under the commercial Branch, you can build the qualifications that all commercial
04:17: pilots must have that are not type specific.
04:20: These may include drug testing Security Programs and Company line
04:24: checks.
04:26: Next are the Type Ratings, which, just like in the Private branch, applies to
04:30: Flight Deck.
04:31: If you want to track recency tick the box and select the applicable recency
04:35: from the drop-down list us European Australian and other recency
04:40: conditions are available. Consult the knowledge base for more details.
04:44: Last but not least, make sure that the type ratings are assignable.
04:49: Under each type rating, you can build types specific qualifications, it
04:53: is recommended to include the aircraft type or name, in the name of the qualification,
04:58: in case Pilots may be dual typed or may obtain a new type rating.
05:02: This helps distinguish various qualifications in the stealth module
05:07: Select the training type from the drop-down list.
05:09: In this example the instrument proficiency check is a check flight.
05:13: Check flight will be the heading above the qualification in a staff module.
05:18: Enter the validity period, using end of month as needed for calendar months.
05:24: It is possible to set a grace period. Locking
05:26: the expiration means it cannot be manually
05:29: edited in the Staff module (only the completed date would be entered there).
05:33: Requiring this qualification creates an alert on Dispatch if
05:37: it is missing or expired. This particular qualification applies
05:41: to the pilot in command
05:42: The same procedure should be applied in creating and fine tuning additional
05:47: type-specific qualifications.
05:49: Likewise, the same procedure should be applied to additional type ratings under the commercial
05:53: branch
05:55: Be sure to save your changes before navigating away
05:59: An important detail in these settings is to click the “update caches”
06:03: button after saving.
06:06: Now let’s navigate to the Aircraft Module to apply the type ratings
06:09: we just created
06:11: Select the aircraft you wish to edit.
06:13: We will start with our Citation
06:25: You will need to select the type rating for each aircraft.
06:27: Anytime you make a change to the naming of your type rating in the qualifications
06:32: tree, you will need to update it here.
06:35: Now let’s see what it looks like to create an assignment for a crew member.
06:39: Select the crew member from the left hand list and scroll or click on Assignments.
06:45: To create initial or additional assignments, start with the plus add
06:49: assignment button.
06:51: In our instance, Amelia Earhart is a commercial pilot.
06:54: So we will select Pilots 135 from the first dropdown list as
06:58: this is the name we gave that branch. If we wanted to select a flight attendant,
07:02: we would select crew members in this list.
07:05: For pilots, next we select the type rating.
07:09: For flight attendants, here we would select flight attendant.
07:13: We will assign Amelia Earhart, as pilot in command pilot in
07:17: command and second-in-command are the generic options for Pilots additional
07:21: positions would need to be created with your implementation manager or support team.
07:26: If your flight attendants do not have specific positions, articulated in the aircraft module
07:30: such as Purser or flight leader, then please leave the position blank for your flight
07:34: attendants in order for Flex to use its default
07:38: Type or select the date from the calendar.
07:40: This is the date from which the assignment is valid and flex and does not
07:44: need to correspond to the company. Start date or date.
07:46: When the typewriting was obtained.
07:49: Clicking show will activate the assignment and populate the details to
07:53: the right, a commercial pilot in command assignment.
07:56: Also include the private equivalent as well as the second-in-command positions,
08:00: once dates are entered in the recency and qualifications below, dates
08:04: will populate yellow warnings and rate alerts will appear for items nearing
08:09: or past expiry. Click on the information circle on the far right to
08:13: display all required items for this assignment.
08:16: Here we can see all required qualifications and their expiration.
08:21: Recency line items will populate automatically based on the recency selected
08:25: in your qualifications tree. To initialize a pilot, enter their
08:29: completed date for each item. Save and the expiration will generate
08:33: automatically. The system will update as post
08:36: flights are closed with recency details, as well as with applicable roster events.
08:42: Qualifications will also populate automatically based on the settings in your qualifications
08:46: tree and the assignment given. Please enter the issued date in order for the system
08:51: to generate the expiry. If it is a renewing qualification, it is possible
08:55: to enter the initial date and subsequent issued dates.

09:03: It is possible to update documents to each qualification.
09:07: Notice the block headers above, each grouping of qualifications, correspond to
09:11: the training, type selected in the settings. Some company qualifications are extensive,
09:15: especially when using an integration to truck computer-based training.
09:19: Use the search bar to quickly, find a specific qualification.
09:23: Lastly, let’s see what this looks like for all crew members in our Licenses Module
09:27: for an overview of the status of Crew licenses, training, qualifications,
09:32: and endorsements.
09:35: Critical items set up as ‘Required’ will be displayed in red. Search
09:39: for crew members based on their names or search for a license.
09:43: Use the toggle to select which item you are looking for.
09:48: Toggle on mandatory for flights only in order to remove qualifications that are not
09:52: required.
09:53: Show Recency Elements to see the recency of your crew at a glance.
09:58: This training covered the setup of your crew qualifications tree in your company settings,
10:02: connecting type ratings to aircraft, granting crew assignments and
10:06: initializing their recency and qualifications, and viewing the overall status
10:10: in the Licenses Module. Your Implementation Manager will be available
10:15: to answer questions during onboarding, as will your Account Manager and FL3XX
10:19: Support once you are live in the system.
